Do these six things in this exact order. Do not stop between steps.

Step 1 — Open the application immediately

Go to application-eta.uk on your phone right now. Or open the Android (Google Play) or iOS (App Store) app. Do not queue at any desk. There is no counter that can issue an ETA in person — not at the check-in desk, not at border control, not anywhere in the airport.

Step 2 — Get your passport out

You need the actual biometric passport you are travelling on. Have the data page — the page with your photo, name, and passport number — ready to photograph. Check it is not expired.

Step 3 — Take your photo NOW, before you move anywhere

This is the most important step and the most common reason for delays. Do it before you go through security, before you sit down, before you do anything else.

  • Find a plain light wall — any blank section of wall away from crowds
  • Ask someone nearby to take the photo (not a selfie)
  • Stand 1 metre away, photo taken from head height
  • Remove glasses
  • Neutral expression, face centred, no shadows on your face
  • No filter, no zoom, no flash
  • Your face should fill roughly 70–80% of the frame

A bad photo is the single most common cause of processing delay. Getting it right the first time saves you hours.

⚠️ Do not use a selfie from the check-in queue

Crowded backgrounds, bad lighting, selfie angle, and motion blur are rejected automatically. Step aside. Find a wall. Take 30 seconds to do it properly.

Step 4 — Fill in your details exactly as in your passport

Copy your name, date of birth, passport number, and expiry date character by character from the passport data page. Do not type from memory. One wrong digit in the passport number and your ETA is linked to a number that does not match your document — you will be denied boarding even with an approved ETA.

Should you tell the airline you are waiting for an ETA?

Officially, no. Airlines have no mechanism to hold a flight or a seat for a pending ETA application. Telling check-in staff will not help — they cannot see into the Home Office system or flag your booking for special treatment. What it might do is alert them to check your ETA status more closely when you arrive, which you want to avoid if approval is still pending. The practical advice: apply now, say nothing to the airline, and arrive at check-in once you have the approval email. If the ETA is not yet approved when check-in opens, stay nearby, keep checking your email, and approach the desk only once you have the approval in hand.

4. What If I’m Not Approved in Time?

This section is for people who have applied and are now watching the clock. Here is the honest picture.

What you can try

Contact the UK Visas and Immigration (UKVI) helpline. The UKVI operates a telephone service for urgent cases. The number for callers outside the UK is +44 (0)800 790 6000 (Monday to Friday, 09:00–17:45 UK time). Explain your situation — departure time, application reference number, and that your ETA is pending. In rare cases, Home Office staff can flag an application for expedited review. This is not guaranteed, not common, and depends entirely on current workload and case complexity. It is worth trying if your flight is more than 3–4 hours away and you have been waiting over 5 hours.

There is no escalation at the airport. Neither the airline, the airport authority, nor border control have any ability to intervene in an ETA decision. Do not queue at the check-in desk hoping a manager can help — they cannot.

If you miss the flight

If your ETA has not arrived by the time check-in closes, you will not board. The most practical options are:

  • Rebook on the next available flight to the same destination. Most airlines allow rebooking within 24–48 hours for a fee. If your ETA arrives before the next flight, you board on the same application — no new ETA needed, it is valid for 2 years
  • Call your travel insurer immediately if you have travel insurance. Some policies cover delays caused by missing travel documentation, including pending authorisations
  • Do not withdraw your ETA application — if it is pending, let it run. Withdrawing and reapplying adds time, not removes it

Can I board without an ETA if I show the airline my application confirmation?
